Privacy notice
Last updated 25 October 2026
This notice explains how ESJ Software Limited ("we", "us"), trading as Call Centre CX, handles personal data when you visit this website, contact us, or when your organisation uses the Call Centre CX platform. We are registered in England and Wales (company number 06474447) and with the UK Information Commissioner's Office (registration ZA908334).
Who is responsible for your data
For visitors to this website and people who contact us, we are the controller of your personal data.
When an organisation uses Call Centre CX to analyse its calls, train its agents or run role-play practice, that organisation is the controller of the call recordings, transcripts, scores and agent records, and we act as its processor. We handle that data only on the organisation's instructions and under our agreement with it. If you are a caller or an agent and have a question about that data, please contact the organisation first; we will help it to respond.
What we collect and why
- Enquiries. When you use our contact form or call us, we collect your name, email address, mobile number, organisation, role and your message. We use them to answer you, arrange a demo or pilot and prepare a quotation. Our lawful basis is our legitimate interest in responding to business enquiries, or taking steps at your request before entering into a contract.
- Platform accounts. For people who sign in, we hold their name, email address, role, sign-in records and security settings, to provide the service, keep it secure and keep an audit trail.
- Website and security logs. Our servers record technical details such as IP addresses and request times, to keep the service secure and working. We do not use advertising or analytics tracking on this website.
Who we share it with
We use carefully chosen service providers, under contracts that protect your data:
- SurveyNode, which runs our contact form.
- Google (Gemini AI), which transcribes, translates and analyses calls for our customers.
- Railway, which hosts the platform, and our email delivery provider.
We never sell personal data. We may disclose data if the law requires it, or to protect our rights or the safety of others.
International transfers
Some of our providers process data outside the UK and your own country. Where they do, we rely on adequacy decisions or appropriate safeguards such as the UK International Data Transfer Addendum or standard contractual clauses.
How long we keep it
We keep enquiries for up to two years after our last contact with you, unless you become a customer. Data we process for customers is kept for as long as their agreement and settings require, and then deleted.
Your rights
Depending on where you live, you have rights under laws such as the UK GDPR, the EU GDPR, South Africa's Protection of Personal Information Act (POPIA) and similar data-protection laws. These include the right to access your data, to have it corrected or deleted, to object to or restrict its use, and to data portability.
To use your rights, contact us using the contact form, by phone on +44 207 859 4716 or by post at ESJ Software Limited, 20-22 Wenlock Road, London N1 7GU, United Kingdom. You can also complain to the UK Information Commissioner's Office (ico.org.uk) or to the data-protection regulator in your own country.
Security
We protect data with encrypted connections, separated customer data, two-factor sign-in, role-based access and audit logging. ESJ Software Limited is Cyber Essentials certified.
